EPI-Tech Terms and Conditions

These Terms and Conditions (“Terms”) apply to your use of the EPI-Tech website and any purchase, enrolment, or participation in EPI-Tech training programmes, workshops, events, digital products, coaching, internship/capstone experiences, communities and learning platforms (together, the “Services”).

By enrolling in a programme, or purchasing any Service, you agree to these Terms and conditions. If you do not agree, you must not use the Services.

1. About EPI-Tech and contact details

EPI-Tech (“we”, “us”, “our”) provides education, training, digital products and community support designed to help learners develop skills and improve employability.

2. Definitions

In these Terms:

  • “Student” / “you” means any individual who purchases, enrols in, accesses, or participates in the Services.
  • “Programme” means any course, cohort training, bootcamp, workshop, webinar, coaching, internship experience, capstone project, or other learning service.
  • “Digital Products” means downloadable or streamed resources (including templates, toolkits, eBooks, recordings, and self-paced modules).
  • “Platforms” means any learning or community systems we use (for example: learning management systems, WhatsApp, Slack, Zoom, Google tools, Notion, project tools).
  • “Materials” means all content provided by EPI-Tech, including videos, slides, templates, frameworks, recordings, handouts and supporting documentation.

3. Eligibility and student responsibilities

You must be 18 years or older unless a specific Programme states otherwise.

You are responsible for ensuring that:

  • the information you provide during registration is accurate and complete
  • you meet any prerequisites stated on the Programme page (where applicable)
  • you have suitable internet access, a compatible device and basic digital capability to participate
  • you check programme communications and instructions sent through official channels

We may refuse enrolment, suspend access, or terminate participation if information provided is false, misleading or incomplete.

4. Enrolment, confirmation, and access

Enrolment is confirmed only when:

  • payment has been received in full, or
  • a written instalment plan has been agreed by EPI-Tech and the first instalment has been received.

Access to Platforms and Materials is granted for the duration of the Programme and continues for a defined access period after programme completion, which will be communicated at enrolment.
Unless otherwise stated, post-programme access is provided for up to 24 months, after which access may expire.

Access periods may vary by Programme, and EPI-Tech reserves the right to limit or withdraw access where:

  • the stated access period has ended
  • payment obligations are not met
  • these Terms are breached

We reserve the right to update or change Programme content, delivery format, timetable, tutors/facilitators, or Platforms where necessary to improve quality, maintain continuity, or respond to operational constraints. Where changes occur, we will aim to maintain the overall learning value of the Programme.

5. Account use and access sharing

Access is provided solely to the registered Student. You must not:

  • share login details
  • allow any third party to access the Platforms or Materials
  • purchase in your name for someone else to use unless explicitly agreed in writing

If we detect access sharing or misuse, we may immediately restrict or terminate access without refund, and you may be barred from future Services.

6. Programme expectations, attendance, and participation

Programme schedules, expectations, and key deadlines will be communicated in advance.

Unless the Programme explicitly states otherwise:

  • attendance at live sessions is the student’s responsibility
  • missed sessions do not entitle you to additional sessions, extensions, or refunds
  • where recordings are provided, they are made available at our discretion and may be time-limited

If a Programme includes projects, capstones, internships, assessments, or group work, participation requirements may apply. Persistent non-participation may result in removal or access restriction.

7. Student conduct and community standards

You must engage respectfully with tutors, staff, volunteers, guest speakers and other students.

We do not tolerate:

  • harassment, bullying, hate speech, discrimination, intimidation, or abusive language
  • disruptive behaviour in sessions or online communities
  • inappropriate content and sexual harassment
  • attempts to undermine, sabotage, or provoke others
  • unauthorised promotion, recruitment, solicitation, or poaching of learners for external programmes

We may issue a warning, suspend access, or remove you from a Programme (including communities and Platforms). Where removal occurs due to misconduct, no refund will be provided.

8. Removal and access restriction policy

We may restrict access to Platforms, communities, sessions, or Materials (temporarily or permanently) where any of the following occur:

  • Payment default on an agreed instalment plan
  • Repeated absence without notice (where attendance is required)
  • Breach of conduct or community standards
  • Access sharing or account misuse
  • Unauthorised copying, distribution, or resale of Materials
  • Threats, abuse, or harassment towards staff, volunteers, or learners
  • Any activity that risks EPI-Tech’s reputation, safeguarding, or data security

Where access is restricted for breach of these Terms, the Student remains liable for any outstanding fees due under an instalment plan.

9. Fees, payments, and instalment plans

Fees are displayed on the website or provided in writing for each Programme.

If an instalment plan is approved:

  • payment dates are fixed and must be honoured
  • you must notify us before a due date if you anticipate an issue
  • failure to pay by the due date may trigger access restriction and removal from Platforms
  • access may be restored only after the overdue amount is paid (where we agree reinstatement)

We may change prices for future cohorts or products at any time. Price changes do not affect payments already made for a confirmed enrolment.

10. Refunds, cancellations, and deferrals

Refund policy

All payments to EPI-Tech are non-refundable for:

  • Programmes (including live or recorded sessions)
  • Digital Products (including downloadable materials)
  • workshops, webinars, community access, capstones, internships, or coaching sessions

This is because access to Materials and/or Programme delivery begins immediately or includes digital content that cannot be “returned”.

Statutory rights

Nothing in these Terms affects your statutory rights. If we fail to provide Services with reasonable care and skill, or the Services are not as described, you may be entitled to a remedy under applicable consumer law.

Cohort cancellation by EPI-Tech

If EPI-Tech cancels a Programme and cannot provide a reasonable alternative (such as rescheduling or moving you to a future cohort), we may offer one of the following at our discretion:

  • transfer to a future cohort at no extra cost, or
  • credit toward another Programme, or
  • a refund where legally required

Deferrals (if offered)

Deferrals are not guaranteed and are granted only at EPI-Tech’s discretion. Where we approve a deferral:

  • it may be limited to one time only
  • it may be subject to an admin fee
  • it must be requested in writing within the timeframe stated for that Programme

Non-attendance without an approved deferral is treated as voluntary forfeiture of the Programme.

11. Programme switching

If we allow switching between Programmes, the conditions will be stated for that cohort. Unless otherwise stated:

  • switching requests must be made in writing
  • switching is subject to availability and suitability
  • EPI-Tech may decline switching requests to protect Programme integrity
  • switching may involve additional fees where Programme costs differ

12. Intellectual property and permitted use

All Materials are owned by EPI-Tech or licensed to EPI-Tech and are protected by intellectual property laws.

You are granted a limited, personal, non-transferable licence to use Materials solely for your own learning during your access period.

You must not:

  • copy, reproduce, distribute, upload, publish, share, resell, license, or commercially exploit Materials
  • record sessions (audio/video) unless we explicitly permit this in writing
  • create derivative products from EPI-Tech Materials

Breach of this section may result in immediate termination of access without refund and may lead to legal action.

13. Recordings, photography, and media

Live training sessions may be recorded for learning access, quality assurance, and safeguarding purposes. Recordings are made available only to enrolled participants and authorised EPI-Tech staff.

Participation in recorded sessions is part of the delivery of our training services. Students may choose whether or not to enable their camera or microphone. If you do not wish to appear in a recording, you may turn off your camera and refrain from speaking where feasible. Reasonable alternatives will be provided where appropriate.

Recordings are retained for up to 24 months after programme completion for learning and revision purposes. This retention period reflects the structure of our programmes and the need to support continued learning and reference within a reasonable timeframe. After this period, recordings are either:

  • securely archived and retained solely for legal, safeguarding, or regulatory purposes with restricted access, or
  • securely deleted where no such purpose applies.

Archived recordings are not made available for learning or general access.

Photographs or short video clips may be captured during sessions or events for marketing or promotional purposes. Such use will only occur where explicit consent has been obtained, and individuals will be provided with the opportunity to withhold or withdraw consent.

14. Outcomes and no guarantees

EPI-Tech provides education and skills development. We do not guarantee:

  • job offers, interviews, promotions, salary increases, or sponsorship
  • certification passes (where certification is external)
  • specific results from applying the learning

Your outcomes depend on your effort, market conditions and third-party decisions beyond our control.

15. Third-party tools and external links

We may use third-party Platforms (e.g., video conferencing, learning systems, community tools, project tools). Your use of those tools may be subject to the provider’s own terms and policies.

We are not responsible for third-party outages, policy changes, or technical failures beyond our reasonable control.

16. Limitation of liability

To the fullest extent permitted by law:

  • we are not liable for indirect or consequential losses (including loss of income, loss of opportunity, or business interruption) arising from your participation in the Services
  • our total liability for direct losses is limited to the amount you paid for the relevant Programme or Digital Product giving rise to the claim

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded by law.

17. Suspension, termination, and survival

We may suspend or terminate access immediately if you breach these Terms, including misconduct, payment default, access sharing, or IP infringement.

Where termination occurs due to breach:

  • no refund will be due
  • any outstanding instalments remain payable (where applicable)
  • clauses relating to IP, confidentiality, liability, and governing law survive termination

18. Data protection and privacy

We process personal data in accordance with UK GDPR and the Data Protection Act 2018. Please review our Privacy Policy for full details.

19. Complaints and dispute resolution

If you have a complaint, you must submit it in writing to contact@epi-tech.org with sufficient detail to investigate.

We aim to acknowledge complaints promptly and respond within a reasonable timeframe. We may request additional information where necessary.

20. Force majeure

We are not liable for delays or failure to perform where caused by events beyond our reasonable control, including (but not limited to) general power outages in locations that have no alternatives such as generators, platform failures, strikes, illness of key personnel, extreme weather, national emergencies, or government restrictions.

Where feasible, we will offer alternative arrangements (for example, rescheduling or platform changes).

21. Changes to these Terms

We may update these Terms at any time to reflect legal, operational, or service changes. The “Last updated” date will be amended. Continued use of the Services after updates constitutes acceptance.

22. Governing law

These Terms are governed by the laws of England and Wales. Where Services are delivered or contracted through Nigerian operations, Nigerian law may also apply to those aspects.
